Welcome

The purpose of this catering guide is to assist you in the planning of your special event. Designed to be a general guide, this brochure only partially reflects the wide range of dining possibilities that our Eckerd College Catering team can offer. We can create menus to satisfy your needs and budget. We will be happy to work with you to develop an event that is uniquely yours, one that you will be both proud and comfortable to serve. Please do not feel that we are limited to the menu items listed in our guide.

General Catering information

Please read the following information carefully, as it will ensure clear communication in our working partnership throughout your event.

Planning Your Catered Event

When planning an event on campus, first reserve the room through The Director of Special Events, Jaime Gremli Llovera (727) 864-8871. Jaime will be able to direct you to the campus offices that reserve specific rooms on the Eckerd College campus . Contact the Catering department at (727) 864-7822 or (727) 647-9199. The Dinning service office is located in the student cafeteria building to make Arrangements for your event. This is a good time to discuss any special diet that your guests might have. Please schedule your catering at least two weeks prior to the date of your event. While we can sometimes accommodate your needs with less time, sufficient notice will allow us to properly schedule production and staffing needed to ensure a successful event. Arrange for the physical set up of your event and any media services you might need from the appropriate offices. Guarantees

Confirm guest counts by contacting the Catering Office with your final guarantee 48 hours prior to your event. If a final guarantee is not received, we will consider the number indicated in the original order, or the latest count , to be correct. The guarantee is not subject to reduction after the deadline. Your billing is based on the final guarantee. If the number of guests is higher than your final guarantee, we will charge accordingly.

Alcohol and Corkage Fee

The Catering Department does not hold a liquor license. However, we are able to set up and serve your beer and wine at a cost of $2.50 Per Person. This covers the handling of your beer and wine, glassware, ice, table linen, skirting, and set up of your bar.

Waiver of Liability

Bon Appétit is not liable for any equipment, supplies, or personal belongings left in the catered areas. Any items found will be turned over to Campus Safety for safe keeping. They can be contacted at (727) 864-8260

Catering Equipment

As the host of the catered event, you are responsible for the equipment we have provided for the service of your event. Any missing or damaged equipment or supplies will be charged to your account, at replacement cost.

Linen and Skirting

We will provide linen and skirting for the food and beverage presentation tables at no charge. Subject to availability, we can rent skirting and table clothes to customize your event for nonfood tables such as registration, displays and discussion tables.

Delivery Charges

There is no charge for deliveries made on campus. For events held off campus, the delivery charge is $150.00

Payment Terms

We require that payment be made within ten (10) days of the receipt of your invoice. Please forward any questions about your invoice to our office. All non college organizations with tax exempt status must provide a copy of the tax exemption certificate letter, prior to the execution of the event , or tax will be included on the invoice. Non college groups are required to make full payment two working days prior to the event. We accept Eckerd College purchase orders, cashiers check, corporate checks, money orders, and cash. No personal checks can be accepted. Prices for non campus groups include a 15% surcharge and any applicable sales tax.

Additional Information

Events held in the Triton or Presidents Dinning Rooms that do not require food or beverage services through the Catering Department will be subject to a $40.00 cleaning fee. Flowers are available on request and a cost will be added to your invoice. Due to food safety and liabilities associated with improper food handling, perishable or prepared foods may not be removed from the site of the event. Prices are subject to change as market conditions dictate.
